Accountant

This position will have primary day-to-day responsibility for managing the financial-related activities of the firm. This will include direct responsibility for billing, collections, accounting, and budgeting in alignment with firm goals and objectives. The position requires a person with skills in bookkeeping, accounting, cash management, analysis and reporting, customer service and QuickBooks and Microsoft Office Products.

POSTION SUMMARY

This position will have primary day-to-day responsibility managing the financial-related activities of the firm. The position requires a person with skills in bookkeeping, accounting, cash management, analysis, reporting, customer service, and QuickBooks and Microsoft Office Products.

ESSENTIAL FUNCTIONS

Bookkeeping and Accounting

  1. Responsible for performing all bookkeeping functions.
  2. Manage accounts payable and ensure accurate and timely payment of invoices.
  3. Perform all data entry of receipts, client costs and disbursements in accounting and billing system for the trust and operating accounts.
  4. Responsible for payroll journal entries and auditing of payroll detail for accuracy from third party vendor.
  5. Responsible for the reconciliation of bank statements.
  6. Monitor the cash balances of the Firm’s accounts and prepare reports.
  7. Ensure adequate cash flow to meet the organization’s needs.
  8. Establish and maintain appropriate internal controls to safeguard assets, to ensure proper accounting of transactions and to promote operational efficiency in keeping with accepted principles and standards.
  9. Prepare and analyze all required financial, attorney profitability and timekeeper reports on a monthly, quarterly and annual basis.
  10. Evaluate and advise on the impact of long range planning and introduction of new programs and strategies.
  11. Advise executive management on the financial implications of business activities.
  12. Provide recommendations to strategically enhance financial performance and business opportunities.
  13. Prepare budgets including collecting, analyzing, and consolidating financial data.

Billing and Collections

  1. Perform all client billing functions on a monthly basis.
  2. Produce, review and edit pre-bills in response to attorney requests.
  3. Finalize drafts and send client bills.
  4. Apply retainer funds as directed by attorney and process write-offs following Firm policy.
  5. Review and verify accuracy of billing and supporting documentation as required.
  6. Research and respond to inquiries regarding billing issues and problems.
  7. Create billing formats and various other billing analyses as required.
  8. Execute complex bills in a timely manner (i.e., multiple discounts by matter, split-party billing, and preparation of electronic bills).
  9. Establish effective and productive working relationships with Firm partners and clients to reconcile past due accounts and encourage timely payments.
  10. Evaluate accounts receivable and client payment trends; thoroughly research and review client accounts and become familiar with client history, payment habits and status.
  11. Develop effective processes and meaningful client relationships to ensure prompt payments.
  12. Collaborate with attorney and office administration to determine appropriate plan of actions to collect any delayed, outstanding or delinquent payments. 
  13. Manage entire collection process including making client calls, reconciling and resolving account payments and disputes, negotiating payment plans and receiving payments.
  14. Maintain a detailed log and accurate records documenting all verbal and written communication with clients and attorneys.
  15. Forecast and track the daily collections of aged accounts.
  16. Develop and implement collections policies and procedures in coordination with Firm objectives.
  17. Prepare and present on-going client account status reports and make recommendations to resolve any issues.

REQUIRED KNOWLEDGE, ABILITIES AND SKILLS

  1. Associate’s Degree in Accounting, Bachelor’s degree is preferred.
  2. Strong knowledge of accounting principles.
  3. Strong problem solving and critical thinking skills.
  4. Must be well organized and able to multi-task.
  5. Ability to work will with individuals at all levels.
  6. Able to work independently and learn new tasks quickly.
  7. Excellent written/oral communication, and customer service skills.
  8. Strong technical skills, including a strong knowledge of and experience with Microsoft Excel and QuickBooks.
  9. Experience with law firm or other professional service firm preferred.

Our clients, however, have continued to ask for even broader assistance. We have expanded to include attorneys specializing in family law and criminal defense but have found there is additional need for attorneys in other practice areas.

Estate Planning, Probate and Transactional
If you’re an experienced Estate Planning, Probate or Transactional attorney and perhaps are in between firms or looking for a different way of practicing, we have an opportunity for you. We currently provide estate planning and transactional services, but we’re looking for someone who wants to truly focus on this area, especially in regard to higher net worth clients. This position could be based in our Fargo, ND, Valley City, ND or our Detroit Lakes, MN office.
