Legal Secretary - Litigation

Job Description

  • Prepare and process correspondence and standard legal documents including subpoenas, contracts, summonses, appeals, and motions.
  • Maintain attorney calendar by planning and scheduling conferences, teleconferences, depositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; monitoring evidence-gathering; anticipating changes in litigation or transaction preparation requirements; updating continuing legal education.
  • Prepare and assemble materials, documents and exhibits for meetings, court appearances and hearings; conduct research and collate information relevant to case preparation.
  • Review legal documents to ensure they are in proper format and contain all necessary portions or related documents for court acceptance; file legal documents on state and federal court systems.
  • Receive and screen client telephone calls; respond to inquiries on a variety of matters.
  • Proofread and edit legal documents for correct grammar, spelling, punctuation, format, syntax and content.
  • Document and maintain case file details and pleadings index.
  • Communicate verbally and in writing to answer inquiries and provide information.
  • Arrange for delivery of legal correspondence to clients, witnesses and court officials.
  • Organize and maintain law library; research and locate case law citations upon request.
  • Generate revenues by assisting with the inputting of attorney billable time and reimbursable expenses.
  • Ability to assist and support attorneys with all aspects of litigation from inception of case through discovery, deposition, trial and post-trial
  • Represent attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney.
  • Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Enhance department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

  • Knowledge of court rules, legal procedures and local, state and federal filing rules.
  • Knowledge of correct English usage, spelling, punctuation, and legal terminology.
  • Knowledge of administrative and clerical procedures and the organization and composition of business letters and written materials.
  • Knowledge of the techniques of receiving callers, making appointments, giving information, and explaining instructions and guidelines.
  • Knowledge of the organization and maintenance of filing systems related to the work.
  • Skilled typing ability and knowledge of personal computers, hardware, software, and related applications and systems.
  • Skilled ability to determine work priorities.
  • Ability to apply instructions and/or guidelines as appropriate in the performance of management support activities.
  • Ability to maintain composure during stressful situations occurring as a result of workloads and/or deadlines.
  • Ability to communicate effectively.
  • Ability to use diplomacy and discretion in giving out information and in referring and directing clients and callers.
  • Ability to transcribe or convert documents from written, oral or computer generated formats.
  • Ability to interpret instructions and guidelines in order to make sound decisions and take necessary actions.


  • Candidate must be proficient in Microsoft Office including Word, Excel, and Outlook. Candidate must be familiar with scanning, OCR, Adobe and know how to hyperlink documents. Must have working knowledge of E-filing, Federal Court and Appeals Process. Strong and accurate timekeeping skills are a must along with strong docketing skills. Candidate must have prepped and attended multiple trials and be a strong team player. Must be able to multi-task and be able to manage digital documents for multiple cases. Excellent verbal and written communication skills are an absolute must.
  • Preference will be given to candidates with 1+ years of experience in all phases of litigation support including motion practice, discovery, and legal cite checking, witness and trial preparation, and electronic document management.
  • Ideal candidates will have experience in, PACER, ECF Filing procedures and general legal research. Law firm experience as well as a 2 or 4-year degree are required.
