RECEPTIONIST

POSITION SUMMARY

This position serves clients by greeting and welcoming them, in person or on the telephone, answering or referring inquiries, and directing them appropriately. Provides overall office support by organizing and assisting with the daily activities of the Firm.

ESSENTIAL FUNCTIONS

  1. Responsible for answering incoming calls, screening and directing the call or taking messages as appropriate.
  2. Greeting and welcoming of visitors in a professional and courteous manner;
  3. Receive, sort and distribute daily mail to appropriate staff.
  4. Coordinate the mailing of express mail services (FedEx, UPS, etc.) and verify charges.
  5. Order and restock inventory and office supplies as needed, taking advantage of discounts where possible.
  6. Schedule conference rooms and prepare the room for various meetings and depositions; organize catered events.
  7. Update and maintain postage machine, printers and other office equipment; coordinate service requests.
  8. Maintain telecommunication system by following manufacturer's instructions; ensure main voicemail reflects office closings. Update and distribute phone listing and distribution lists.
  9. Maintain safe and clean reception and general office areas by complying with procedures, rules and regulations.
  10. Responsible for opening, filing, updating and archiving of client files.
  11. Assist staff with copying, scanning and printing of documents and special projects.
  12. Serve as the runner for the office as assigned.

REQUIRED KNOWLEDGE, ABILITIES AND SKILLS

  1. Excellent interpersonal, written and verbal communication.
  2. Professional telephone and customer service skills.
  3. Ability to effectively plan, organize, and prioritize work.
  4. Must be organized, detailed oriented and able to multitask in a fast paced environment.
  5. Proficiency with Windows and Microsoft Office products.
  6. Demonstrated high level of professionalism and confidentiality.
  7. Proven abilities to think and work independently, efficiently and accurately.
  8. Flexibility, initiative, and dependability.
  9. Experience in a legal environment preferred.
